Sending registration instructions to your team of runners so they can redeem their codes and finalise entry.
You will need to send registration instructions to your runner to allow them to claim an entry code and complete their official race registration.
- STEP 1: Log into the Charity Console as per usual
- STEP 2: Filter to your 'Accepted' runners by Status
- STEP 3: Choose the '...' symbol and select 'Give them a place'. This action will trigger an instructions email to the runner on how to redeem their code, with the code available as part of the runner's dashboard. Each race has different code generation processes so instructional emails are tailored to the information a runner needs to know. This communication will always remind runners of the final deadline for registration so they know by when they have to have finalised their entry to secure their spot at the start line.
- STEP 4: Once this step is completed you'll see a 'Code Sent' status for the runner as part of your dashboard.
- STEP 5: To check if the runner has finalised registration and used the code, you can log into the Console. A status of 'Registration in Progress' means the runner has logged in and accessed the code but have not yet completed the process. 'Registration Complete' means they're done and ready to race!
You can send 'Registration Reminders' if the runner's application stays on 'Code sent', this action will be available under the '...' action button, but please note, their registration status is updated every seven days so please check every Friday after 10am before issuing a reminder.
Once an entry code has been sent you cannot reject or withdraw a runner from the console. You'll need to contact a member of our Charity Support Team at https://knowledge.realbuzz.com/kb-tickets/new with the details of the runner.
Please note, in the event that race registration for a charity runner includes charged add ons, these are not the liability of realbuzz. If these add ons are charged back, i.e. not to the runner, they will be the responsibility of the charity. The charity will be informed in advance of these circumstances so you can communicate with your runners as to whether you are willing to cover such costs.
